What this is and how to use it...

In real life, ikan-ikon™, the marketing agency, uses a living Word document that everyone on the team uses to keep track of tasks that need to be done, progress on each task, approval processes, and the completion of tasks. We use these in addition to planning apps our clients use because buckets and digital tools can leave tasks on the table. Additionally, it takes time to set up each bucket and those tools are limited in how many tasks can be listed. Plus, they do not keep track of each task that is required to get the task done. All that creates more issues than the time it could save, particularly for some on a team who may not use the tools properly. Even with workarounds that track tasks and subtasks well, it still takes time to look through every bucket of ~100 buckets a week.

The living checklist is ikan-ikon™s solution. Everyone on. ateam has access to the same Living To Do List (the checklist). We briefly discuss the day's prioritized tasks in the morning huddle so that anything urgent or that hit an obstacle can be resolved quickly the same day. When a task is worked on, the team member types a note on that 1 line of text. When the task is fully completed, the responsible team member strikes through it. After their supervisor approved the task, it is archived. The living document never dies. It perpetually shows where each project is at so that everyone can get things done very quickly with a quick glance at the checklist. Tasks are prioritized by moving that line of text to the top of that team member's part of the document. This accountability is EXCELLENT for keeping projects moving ahead efficiently.
